REPORT TO THE BOARD OF TRUSTEES

This report is intended to provide the chairman and members of the Board of Trustees with a report of activities during the period April 9 – May 14, 2013.

Financial Report
Operating expenses for the report period totaled $6,229.63. Year-to-date, expenditures total $65,892.58, a 20.3% increase over the previous year. Unencumbered operating funds for the remaining 2 months total $28,525.60 ($14,263 per month). A request for carry-over funding will be initiated. It is anticipated that those funds will be needed to address technology equipment needs when the addition is completed.

Information maintained by the Office of the County Administrator regarding salaries and related benefits was received for the period ending May 1, 2013. Total expenses to date are $156,370.96 or 75.1% of total budget ($229,726), with $57,119 remaining. The average monthly total is $17,260; however, expenses for the current period totaled $15,726, a 3.24% increase over the previous month.

FY 2013-14 County Budget
The Board of Supervisors has approved the budget for the upcoming fiscal year. The library's budget for this period is set at $342,422, an increase of $24,525 over the previous fiscal year. The budget includes a 3% increase for all library personnel and reflects no reductions that were not recommended in the proposed budget submitted to the County.

Personnel
Head, Adult/Teen Services Position
On Tuesday, May 7, and Wednesday, May 8, a team comprised of Carol McCormack, Carolyn Taylor, Jan Mohr (youth wing volunteer) and Bette Dillehay interviewed five individuals for the position. Two of those interviewed were selected as finalist. The top finalist currently lives out of state but will be traveling to Mathews on Friday for a more extensive discussion. A decision will be made following that meeting. It is planned to fill the position by June 15th.

Patron Update
The total number of patrons as of Friday, May 10th, was 10,122, an overall gain of 576 patrons over the same period in the previous year. Patrons and others visiting the library totaled 4,903 during the report period, which continues to be slightly down from the same period 2012.

A new resource has been added to the library's eBranch collection, which previously made available eBook and audiobooks and music. The latest service is Zinio Digital Magazines. The library, through the resources offered by the Library of Virginia, offers access to popular periodicals and magazines. Work continues on ways to market and assist patrons in taking advantage of the growing collection.

Programs
Adult Programs.
Dr. Sandra Treadway, Librarian of Virginia, joined the Board of Trustees, Friends of the Library and library staff in honoring twenty-six Outstanding Women of Mathews on Thursday, May 2nd, at a luncheon. The library has received many words of appreciation for the event.

Dean King, an author appearing previously at the library, will discuss his latest book on May 20 at a Brown Bag lunch event. Titled, The Feud, the book documents the turbulent period in West Virginia history when two families, the Hatfields and the McCoys made headlines.

Moving to June, we will feature a Brown Bag Lunch event featuring Richmond Times Dispatch political journalist, Jeff Schapiro, on the 20th. Jeff has covered Virginia's Capitol and campaigns for nearly three decades. His columns are published on Wednesdays and Sundays with a video column each Thursday. He can be heard each Friday at 8:33 a.m. on WCVE radio. Jeff's insight into Virginia politics and knowledge of State government promises to provide an informative and entertaining event.

Work is progressing on both youth and adult summer programs. It is planned to engage former staff member Missy Whaley as a part-time consultant during the month of July to assist with the summer program activities. Information regarding the summer calendar was submitted to the Gazette Journal and is included in your packet of information. Also included is a proposed budget, which will be presented for consideration by the Friends at their meeting tomorrow, May 15th.
