Minutes
Board of Trustees
Mathews Memorial Library
May 14, 2013

CALL TO ORDER: The meeting was called to order at 5:15 pm by Chairperson, Carolyn Taylor.

ATTENDING: Jo Anna Brown, Doreen Folzenlogen, Charles Ingram, Will Story, Carolyn Taylor, and Stephen Wilson, who was welcomed as a new trustee to the Board, replacing Doug Wilton. Bette Dillehay, Director, and Maree Morgan, President of the Friends of the Library were also present.

MINUTES: The minutes of the April 9, 2013 meeting were approved as written.

REPORT OF THE DIRECTOR:
• Expenses for the report period (April 9 – May 14) were $6229.63. Unencumbered funds for the remaining two months total $28,525.60.
• Salaries and related benefits totaled $15,726, somewhat less than the average $17,260; this is due to the smaller staff as a result of the opening for adult/teen head, and Carol McCormack being only part time in the youth wing. These expenses are expected to increase in June and July with the anticipated hiring of an adult/teen head, and increased hours for Carol because of the summer youth program. Former youth librarian, Missy Whaley, has also agreed to help as a part-time consultant.
• The Board of Supervisors has approved the budget of $343,422 for the upcoming fiscal year, an increase of $24,525 over the previous year. This includes a 3% increase for all library personnel.
• It is expected that the position for Head, Adult/Teen Services will be filled by June 15th.
• The total number of patrons as of May 10 was 10,122, a gain of 576 over the same period last year.
• The latest addition to the library's eBranch collection is Zinio Digital Magazines, which offers access to popular periodicals and magazines. Information about the registration process is available at the Mathews Memorial Library website, and a tip sheet is available at the library.
• A luncheon was held on May 2 at the library to honor twenty-six Outstanding Women of Mathews. Dr. Sandra Treadway, Librarian of Virginia, was guest speaker.
• On May 20, at noon, Dean King will discuss his book, "The Feud."
• On June 20, also at noon, Richmond Times Dispatch political journalist Jeff Shapiro will address the Virginia political scene and what to expect in the coming months before the election.
• Youth activities for the summer include the Highland Games on Friday, June 21 at 10 am; July @ the Library, a month-long program whose theme this year is "Celebrate Our World"; and Story Time on Wednesdays at 10 am for children 18 months to 5 years.

• Additional adult programs throughout the summer include the popular Soothin Summer Sounds music series. Specific program dates and performers will be announced.
• The proposed budget for these programs totals $7275; this budget will be presented to the Friends of the Library for consideration of their support.

REPORT FROM THE FRIENDS: Maree Morgan announced that $1,116,000 has been raised for the library addition, plus $10,500 in pledges and an expected $10,000 in a matching grant. A Clerk of the Works has been hired, and demolition will begin this week. A portrait of Dr. H. Bland Hudgins by painter David Tanner has been commissioned and will be unveiled at the opening of the new wing.

OLD BUSINESS: The leak in the roof of the main building is being repaired and will be finished this week or next.

NEW BUSINESS: Will Story made a motion and Jo Anna Brown seconded, to make a request to the Board of Supervisors to carry-over an anticipated budget surplus into the next fiscal year. The motion was approved.

The meeting was adjourned at 6:15 pm.

Next regular meeting is at 5:15 pm on June 11, 2013.

NOTE: There will be no regular meeting in July.

Jo Anna Brown (for Mary Sampson, Secretary)
